Specialty Back Office Manager
Responsibilities:

- Partner with region and office management to provide feedback on logistical performance as it pertains to performance reviews around attendance, tardiness, accuracy and timeliness on submitting mileage reimbursements.
- Oversee the complete on-boarding process for the traveling Specialty assistants and ensure employee is signed up for all required workshops to meet their Essentials Program.
- Partner with region and office management to determine and set office specialty dates and times, maintain mapping charts/reports for team scheduling strategy for Oral Surgery, Periodontics, Orthodontics, Pedodontics and Endodontics, determine patient counts and confirm Specialty Dental Assistant team assignments for the offices.
- Manage and approve time-off requests for the travelling Specialty Dental Assistants, resolve any issues with attendance and/or scheduling.
- Adjust the travelling Dental Assistants schedule to mitigate any gaps in coverage. Ensure office and regional management is always aware of risk in inadequate coverage.
- Provide gap analysis and identify solutions to increase efficiency and ideal workforce ratios.
- Manage Specialty Connect database - Create & update office profile and personnel profiles, request personnel profiles established via IT, manage scheduling templates.
- Conduct frequent audits to maintain accuracy of the database.
- Responsible for training team members on how to use Specialty Connect.
- Review and approve attendance and mileage reimbursement records for the Specialty Assistants and research any discrepancies with the schedules and time sheet records. Alert management on any discrepancies.
- Conduct analysis on payroll spend provide recommendations on utilizing resources effectively and reducing costs such as overtime, double time, meal time penalties, etc.
- Review business trends, and distribute reporting and analysis on current and future staffing to the offices. Partner with Regional Leadership and Recruiting to proactively identify any future staffing needs related to turnover or market trends.
- Provide recommendations and implement changes related to process improvements that may change financial and patient outcomes.

Qualifications:

- High School Diploma or GED, in lieu of degree 5+ years of experience in a medical and/or dental office operations.
- Knowledge of Microsoft Office, and other software applications.
